Application and approval
Applications must be accurate and complete. Approval is specific to the vendor, category, products or services and event date reviewed. A vendor may not transfer, share or resell a space without written approval. We may decline an application or limit duplicate categories to support a balanced market.
Payment, cancellations and refunds
Approved vendors will receive the fee, payment recipient and payment deadline in writing. Verify the recipient before sending payment. A space is not confirmed until payment is received and verified. Unless the organizer agrees otherwise in writing, vendor cancellations and no-shows are non-refundable. If the organizer cancels the event and does not offer a reasonable rescheduled date or credit accepted by the vendor, the vendor fee for that cancelled event will be refunded.
Permits, food safety and lawful products
Each vendor is solely responsible for determining and maintaining every license, permit, inspection, food-safety requirement, sales-tax obligation and authorization applicable to its operation and products. Food vendors must follow the requirements of the agency with jurisdiction over their operation and must provide documentation when requested. Prohibited, counterfeit, recalled, unsafe or unlawful goods and services may not be offered.
Insurance and responsibility
Vendors are independent businesses responsible for their staff, setup, inventory, customer transactions, taxes, products and services. Vendors must maintain commercially reasonable insurance for their activities and provide proof when requested; food, personal-service and higher-risk vendors may be required to carry general and product liability coverage naming parties specified by the organizer where appropriate.
Setup, safety and conduct
Vendors must follow assigned arrival, setup, display, sanitation, electrical, fire, accessibility and cleanup instructions. Displays must remain within the assigned area and may not block aisles or exits. Vendors are responsible for securing their own property. Harassment, discrimination, unsafe behavior, excessive noise, misleading claims and disruption of other vendors or guests are not permitted.
Event changes and removal
The organizer may adjust placement, hours, layout or operating instructions for safety and event needs. A vendor may be removed without refund for material misrepresentation, nonpayment, unlawful activity, unsafe conditions, rule violations or conduct that harms guests, vendors, the venue or event reputation.
Indemnity and limits
To the extent permitted by law, the vendor is responsible for claims, losses or expenses arising from the vendor’s staff, setup, products, services, representations, negligence or violation of law. The organizer is not responsible for theft, vendor property damage, lost profits or indirect losses except to the extent caused by the organizer’s own conduct where liability cannot lawfully be excluded.
